The Accounts Receivable (A/R) team manually downloaded individual invoice PDFs and drafted collections emails individually. This fragmented approach created several critical pain points:

  • Dynamic Recipient & Fallback Logic: Emails are automatically routed to designated invoice contacts. If contact data is missing, the system utilizes intelligent fallback logic to alert the internal collections team.
  • Automated Attachments & Templates: Each outreach includes the corresponding invoice PDF and context-aware messaging, eliminating manual document handling.
  • Intelligent Escalation: Automated dunning rules include Sales Reps and internal stakeholders at advanced stages to increase urgency and visibility.
  • Real-Time Status Tracking: Custom fields were introduced to track “Dunning Email Status” and “Failure Reason” directly on the invoice record for full traceability.

  • Reduced DSO & Strengthened Cash Flow: By combining native A/R aging and DSO reports with a custom dashboard tracking automated follow-ups, OnScent achieved 100% coverage of overdue invoices and eliminated missed reminders. This led to faster customer responses, a shortened collections cycle, and improved cash flow predictability. We’ve validated the DSO KPIs in NetSuite and observed a huge change in the DSO.
  • Elimination of Manual Bottlenecks: By automating the dunning process, OnScent eliminated manual drafting and follow-ups for 100% of eligible overdue invoices. Previously, the A/R team spent significant time downloading invoice PDFs, composing emails, and tracking follow-ups.
