The Opportunity: Empowering the Team Beyond Automation
As North America’s leading zinc oxide manufacturer, Zochem wanted to elevate its order management operations into an ecosystem where human ingenuity and automated precision work in harmony. With nearly 500 unique customer requirements and a steady influx of diverse purchase order formats, manual data entry inside NetSuite consumed valuable time and cognitive energy.
Zochem approached Initus Technologies for an empathetic consulting partner to streamline operations, eliminate points of friction, and empower their customer service team to transition from manual data processors into strategic customer advocates. Early in the engagement, the Initus team decided along with Zochem leadership that InitusIDP (Intelligent Document Processing) was the best solution for their unique operational needs.
Our Consultative Approach: Empathy-Driven Precision
Initus Technologies deployed its high-touch, three-phased methodology engineered to place Zochem’s people at the center of the technological evolution, ensuring the 12-week sprint felt like an organizational elevation rather than a disruption.
Phase 1: Co-Discovery, Process Mapping & Building Trust (Weeks 1-3)
Rather than imposing an off-the-shelf framework, Initus’s consulting team embedded themselves with Zochem’s front-line operators to map the human realities behind their complex chemical supply chains.
• Consulting Approach to Process Deconstruction: Initus sat side-by-side with customer service representatives to trace the lifecycles of diverse purchase orders, capturing the subtle nuances governing Zochem’s 500+ customer accounts.
• Collaborative Validation Workshops: The teams co-documented non-negotiable rules, such as specialized unit-of-measure conversion logic and physical packaging constraints (e.g. automated rounding rules for full, unbroken bags).
• People-First Architecture: The phase concluded with a joint architectural vision, aligning InitusIDP directly with the team’s workflow habits to ensure immediate comfort and software familiarity.
Phase 2: Collaborative Architecture & Co-Creation (Weeks 4-7)
Using discovery blueprints, Initus worked hand-in-hand with Zochem’s team to design a centralized repository tailored to simplify complex day-to-day operations.
• The “Customer Purchase Order” (CPO) Staging Record: Initus introduced a custom transaction type in NetSuite: the CPO. Serving as a collaborative staging environment, the CPO allows users to easily view, validate, and enrich customer order data before permanently committing it to a formal Sales Order.
• Designing for Human Autonomy: Real-world business logic was translated into intuitive validation rules. By automating over 90% of routine data flows, InitusIDP filtered out repetitive noise, surfacing only unique anomalies for quick, human review.
• Interdepartmental Synergy: Initus broke down operational silos by establishing a unified dashboard, fostering seamless communication between sales, logistics, and customer service.
Phase 3: Change Management & Accelerated Adoption (Weeks 8-12)
The final phase focused entirely on a seamless cultural transition, rigorous collective testing, and long-term user adoption to guarantee zero business disruption.
• Iterative, Guided Testing: System deployment occurred in stages. Initus worked closely with users to run historical data through the integration models, allowing the customer service team to see their inputs refine the automated workflows in real time.
• Active Change Management: Workforce training was built around the elevated career path of Zochem’s team. Transitioning from data transcribers to strategic account managers, the workforce enthusiastically embraced InitusIDP because it removed administrative burdens and provided immediate clarity.
• Hypercare with a Human Touch: Post-go-live, Initus provided dedicated support, standing shoulder-to-shoulder with Zochem employees to iron out edge cases and cement absolute operational confidence.
Conclusion
The continued success at Zochem demonstrates that true operational excellence requires more than advanced technology. By pairing the robust capabilities of InitusIDP with a consultative, human-centric approach, Initus Technologies ensures that enterprise modernization is defined by sustainable change, engaged workforces, and enduring market leadership.
